Customer Refunds: Procedures and Guidelines
Refunds should be processed promptly to ensure customer trust and regulatory compliance. Below are the options available for processing refunds:
-
Process a Refund Through the Register (Recommended) This is the quickest method for returning funds to the cardholder.
-
Refunds Through Clark (Alternative) Clark can submit refunds on behalf of the store. However, this process can take up to 30 days to complete.
-
Advise the Cardholder to Dispute the Charge If a refund cannot be processed through the register, advise the cardholder to dispute the charge with their bank directly.
-
Avoid Providing Cash Refunds Issuing cash refunds is not recommended as it does not provide proper proof of the transaction. If a cash refund is given, the cardholder could still dispute the charge, which may result in the store issuing a duplicate refund (both cash and chargeback).
Important Reminder: Always retain a receipt or record of any refunds processed to avoid potential disputes.
